Terms of Service
These Terms of Service ("Terms") govern your access to and use of CredPass. Please read them carefully – by creating an account or using CredPass, you agree to them.
1. About these terms
These Terms of Service ("Terms") govern your access to and use of CredPass, a platform operated by Credential Systems Pty Ltd (ABN 94 697 225 157) ("CredPass", "we", "us", "our"). By creating an account or using CredPass, you agree to these Terms. If you do not agree, do not use CredPass.
2. Who can use CredPass
You must be at least 18 years old and able to form a binding contract. If you use CredPass on behalf of a childcare centre or organisation, you confirm you are authorised to bind that organisation to these Terms.
3. The service
CredPass helps early childhood educators manage their professional credentials, and helps childcare centres track their team's compliance. Features include credential storage, automated reading of uploaded documents, expiry reminders, compliance reporting, and sharing tools.
- Educators create a personal account, add their own credentials, and control what they share.
- Centres (directors) create a centre account, invite educators, and view compliance information relevant to their centre.
4. Your account
You are responsible for keeping your login details secure and for all activity under your account. Tell us immediately if you suspect unauthorised access. You must provide accurate information and keep it up to date.
5. Your content and credentials
You retain ownership of the documents and information you upload ("Your Content"). You grant us a licence to store and process Your Content solely to provide the service (including reading documents to extract credential details). You are responsible for ensuring Your Content is accurate and that you have the right to upload it. Uploaded documents are not used to train artificial-intelligence models.
6. Acceptable use
You must not: use CredPass unlawfully; upload documents you don't have the right to share; upload false or fraudulent credentials; attempt to access other users' data; disrupt or reverse-engineer the service; or use CredPass to harass or harm others. We may suspend or terminate accounts that breach these Terms.
7. Subscriptions, billing & cancellations
Applies to centre/director accounts. CredPass is free for educators.
- Plans and pricing. Centre subscriptions are tiered by the number of educators connected to the centre, at the prices shown at the time of purchase. Prices are in Australian dollars. Prices do not currently include GST.
- Billing cycle & auto-renewal. Subscriptions are billed in advance on a monthly or annual cycle, as selected, and renew automatically at the end of each cycle until cancelled. By subscribing, you authorise us (via our payment processor, Stripe) to charge your payment method for each renewal.
- Plan changes. You may upgrade at any time; upgrades take effect immediately and are charged on a pro-rata basis. Downgrades take effect at the end of the current billing period.
- Educator limit. Each plan covers a set number of educators. To add more educators than your plan allows, you must upgrade.
- Cancellation. You may cancel at any time from your billing settings. Your subscription remains active until the end of the current paid period, after which access is limited. We do not provide refunds for the remaining part of a paid period, except where required by law.
- Failed payments. If a payment fails, we will retry it. If it cannot be recovered, your centre account access may be paused until payment is made. Your data is retained and restored when you reactivate.
- Free access. We may grant free or complimentary access to selected centres (for example, during a pilot). Such access is time-limited and reverts to normal billing on expiry.
- Taxes. You are responsible for any taxes that apply to your subscription, unless we are required to collect them.
- Consumer rights. Nothing in these Terms excludes rights you have under the Australian Consumer Law.
8. Payments
Payments are processed by Stripe. We do not store your full card details. Your use of Stripe is subject to Stripe's terms.
9. Third-party services
CredPass relies on trusted third-party providers (for hosting, document reading, email and payments). Their handling of your information is described in our Privacy Policy.
10. Availability
We work to keep CredPass available and reliable, but we do not guarantee uninterrupted access. We may update, suspend or withdraw features from time to time.
11. Intellectual property
CredPass, its software, design and branding are owned by us or our licensors. These Terms do not grant you any rights to our intellectual property except as needed to use the service.
12. Disclaimers
CredPass is a tool to help you manage and track credentials. You remain responsible for your own compliance obligations. CredPass does not provide legal or compliance advice, and reminders or statuses shown in the app do not replace your own checks. To the extent permitted by law, the service is provided "as is".
13. Liability
To the maximum extent permitted by law, we are not liable for indirect or consequential loss. Nothing in these Terms limits liability that cannot be limited under the Australian Consumer Law. Where our liability can be limited, it is limited to resupplying the service or paying the cost of resupply.
14. Termination
You may stop using CredPass and delete your account at any time. We may suspend or terminate your access if you breach these Terms or if required by law. On termination, your data is handled as described in our Privacy Policy.
15. Changes to these Terms
We may update these Terms from time to time. If we make material changes, we will notify you. Continuing to use CredPass after changes take effect means you accept the updated Terms.
16. Governing law
These Terms are governed by the laws of New South Wales, Australia, and you submit to the courts of that jurisdiction.
